Client hasn't paid? Payment reminder messages and UPI proof of payment
The work is done, the invoice went out, and the money hasn't come. Or it came, but as "₹11,800 from R KUMAR" with no reference, and now you're scrolling your bank app trying to work out which invoice it was for. Both problems start on the invoice itself.
Before you send the invoice
Write the due date on the invoice ("Due: 15 Nov" beats "Net 15"). Put the invoice number where the client can't miss it. Give one way to pay that takes ten seconds. A QR with the amount filled in is the fastest; a bank account with IFSC is the backup for clients who pay from a company account.
Reminder messages you can copy
1. Due date (friendly, same day):
Hi Ravi, quick note that invoice INV-014 for ₹11,800 is due today. The UPI QR on the invoice has the amount filled in. Thanks!
2. Three days late:
Hi Ravi, following up on INV-014 (₹11,800, due 15 Nov). Could you let me know when it's planned? Re-attaching the invoice here.
3. Two weeks late (firm, still polite):
Hi Ravi, INV-014 for ₹11,800 is now two weeks overdue. Please clear it by Friday 29 Nov. If something is holding it up (PO, approval, a correction on the invoice), tell me and I'll fix it today.
4. Final reminder:
Hi Ravi, this is my last reminder for INV-014 (₹11,800, due 15 Nov). I'll have to pause further work until it's settled. Happy to get on a call if there's an issue.
Re-attach the invoice every time. The client should never have to search for it, and "please resend the invoice" is the most common delay there is.
How to prove a UPI payment and match it to an invoice
Every UPI payment has a 12-digit UTR (also called UPI reference number or RRN). It shows in both your app and the payer's app.
| Situation | What to do |

| Client says "I've paid" | Ask for the UTR or a screenshot showing it. Search that number in your bank or UPI app's history. |
| Money arrived, no idea which invoice | Check the payment note. If the client scanned a QR with tn=INV-014, the invoice number is right there. |
| Client wants a receipt | Reply with: invoice number, amount, date received, UTR. That's a complete payment acknowledgement. |
| Screenshot looks fake | Don't trust screenshots alone. Only your own bank statement or app showing the credit counts. Edited "payment successful" screenshots are a common scam. |
| Status "pending" on their side | UPI failures usually reverse to the payer within a few working days. Ask them to wait for success or a reversal, then pay again. Don't treat pending as paid. |
The MSME 45-day rule
If you're a micro or small enterprise registered on Udyam, the MSMED Act says buyers must pay you within the agreed period, and never later than 45 days from acceptance of the goods or service. Late payments carry compound interest at three times the RBI bank rate, and you can file a case on the MSME Samadhaan portal. Printing your Udyam number on the invoice and mentioning the 45-day limit in reminder 3 often moves a slow payer.
