Photographer invoice format (India) with UPI QR
This page is for wedding, product and event photographers. The usual problem: you make the invoice in Word or Canva, send it, then chase the payment separately on WhatsApp. If the invoice itself carries a UPI QR with the exact amount and invoice number pre-filled, the client can scan and pay from any UPI app in seconds.
What a photographer invoice should have
| Field | Example |
|---|---|
| Your name / business, address | Your trading name and city |
| GSTIN (only if you are registered) | 15-character GSTIN as on your certificate |
| Invoice number and date | INV-014, 06-10-2026 (a running series) |
| Client name, address, GSTIN if any | Client's legal name |
| Description | Event photography - full day |
| HSN/SAC | 998383 (confirm the right code for your case) |
| Amount, GST (if you charge it), total | CGST+SGST within your state, IGST across states |
| Payment details | UPI ID plus a scan-to-pay QR for the exact total |
Why put a UPI QR on the invoice
A static QR makes the client type the amount, and the payment often arrives without a reference. A dynamic UPI QR carries your UPI ID, the exact amount and the invoice number in the note, so matching payments to invoices takes seconds. The money goes straight from your client's UPI app to your account; PayParchi never handles it.
GST note
PayParchi only prints the GST rate and GSTIN you enter. Whether you need to register or charge GST depends on your turnover and service; ask a CA if you're unsure. We don't give tax advice.
